Compressing PowerPoint: the deck that will not fit in an email

Full-bleed images, embedded video and slide masters: where a .pptx file's megabytes come from

Of the Office formats, PowerPoint is by far the one that balloons most. The reason is obvious once you think about it: a presentation is, by definition, a visual document. Where a Word report has paragraphs, a slide has a full-bleed photograph, a chart, an icon and sometimes a video.
A .pptx is also a ZIP with XML inside, just like .docx and .xlsx. The slide text takes a minimal fraction; the rest is the media folder.

The detail usually overlooked is cropped images. When you crop a photo inside PowerPoint, the program does not discard what falls outside: it keeps the whole image and notes which part to show, in case you want to undo the crop later. A deck with twenty cropped photos can be carrying twenty complete images of which only a portion is visible.

Embedded video deserves its own decision

A video embedded inside the .pptx is usually, on its own, the reason a deck weighs 300 MB. Before compressing, it is worth deciding whether it really needs to travel inside the file: linking it or uploading it to a platform and adding a link leaves the presentation at a fraction of its size.
The trade-off of linking is that you need a connection — or the video file alongside the deck — at presentation time. If you are presenting with no guaranteed internet, embedding and compressing is the sensible option.

What resolution your slides actually need

A 16:9 slide is normally projected at 1920×1080 pixels. Any image filling the whole slide needs no more than that to look perfect on a projector or screen. A 6000×4000 pixel photo at full bleed is supplying more than three times the pixels the projector can display.
That headroom is exactly what compression exploits, and it explains why PowerPoint reductions are usually so large with no visible difference when projected.

  • Animations and transitions between slides keep working as before.
  • Text, shapes and native charts are vector-based: they stay crisp at any size and are unaffected.
  • Speaker notes and slide order do not change.
  • Hyperlinks remain functional.
